ClubTap is an AI-powered SMS concierge platform for private country clubs, built and operated by ClubTap LLC (“ClubTap”, “we”, “us”). This Privacy Policy explains how we collect, use, and protect information when you interact with ClubTap via text message.

Mobile phone numbers and SMS opt-in data and consent will not be shared with or sold to third parties or affiliates for marketing or promotional purposes.

Information We Collect

When you interact with the ClubTap SMS service, we may collect the following:

• Phone number — Your mobile phone number, used to identify you as a club member and to send and receive SMS messages.
• Message content — The text of messages you send to ClubTap, including inquiries about tee times, dining reservations, events, and general club information.
• Conversation history — A limited record of your recent interactions with ClubTap, used to provide continuity within a session.

How We Use Your Information

Information collected through the ClubTap service is used solely to:

• Respond to your inquiries about tee time availability, dining, events, and club services.
• Process booking requests and provide confirmation details.
• Improve the accuracy and quality of the ClubTap service for club members.

We do not use your information for advertising, marketing, or any purpose beyond responding to your direct club-related inquiries.

No Sharing with Third Parties

Mobile phone numbers and SMS opt-in data collected through the ClubTap service will NOT be shared, sold, rented, or otherwise distributed to third parties or affiliates for marketing or promotional purposes.

Your contact information is used exclusively to operate the ClubTap concierge service on behalf of your club. We do not sell member data under any circumstances.

Limited service providers (including our SMS infrastructure provider Twilio and cloud hosting providers) may process message data only as necessary to operate the service. These providers are contractually bound to use your data solely for service delivery.

Data Retention

Conversation data is retained for a rolling window to support continuity within active sessions. Inactive conversation records are automatically purged after 30 days. Phone numbers are retained for the duration of your club membership and removed upon membership termination upon request.

You may request deletion of your data at any time by contacting us at the information below.

Opt-Out

You may opt out of the ClubTap SMS service at any time by replying STOP to any message. After opting out, you will no longer receive messages from ClubTap. Reply START to re-enroll, or HELP for assistance.

Security

We implement reasonable technical and organizational safeguards to protect your information from unauthorized access, disclosure, or misuse. SMS messaging is inherently not a fully encrypted medium; please do not send sensitive personal, financial, or health information via the ClubTap service.

Changes to This Policy

We may update this Privacy Policy from time to time. The effective date at the top of this page will reflect the most recent revision. Continued use of the ClubTap SMS service after any update constitutes acceptance of the revised policy.
